As a Long-Term Coordinator, you will play a crucial role in supporting the day-to-day operations of our real estate investment company. You will coordinate and manage various aspects of property management, tenant relations, and administrative tasks. This is a long-term position, and we are looking for an enthusiastic individual who thrives in a fast-paced environment.
Responsibilities:
Tenant Relations:
- Serve as the primary point of contact for tenants, addressing inquiries, resolving issues, and maintaining positive relationships.
- Facilitate the tenant onboarding and offboarding processes, including lease agreements, background checks, and move-in/move-out inspections.
- Coordinate maintenance requests, repairs, and renovations for properties ensuring timely resolution and excellent service.
- Coordinate the action of security when required
- Coordinate cash lodgements
- Provide reference letters for tenants as needed

Property Management Coordination:
- Coordinate property inspections, ensuring that they are conducted regularly and accurately.
- Assist in developing and implementing property management strategies to optimize occupancy rates and rental income.
- Collaborate with the leasing team to update and manage rental listings on various platforms.
- Collect and analyze data on property occupancy, rental rates, and market trends, providing recommendations for improvement.
- Property management and set up properties' security, public services, furniture, property facilities (microwave, boiler, etc.), layouts properties
- Ensure the intro tour is updated so that properties are presented in the best possible light
- Coordinate the installation of cameras and other security measures as needed
Administrative Support:
- Assist with administrative tasks, including answering phone calls, responding to emails, and managing calendars.
- Prepare and distribute documents, reports, and correspondence as needed.
- Maintain accurate records, databases, and filing systems related to property management activities.
- Coordinate meetings, conferences, and travel arrangements for team members.
- Manage notices
- Prepaying residential contracts by email, prepaying power tracking, and meter readings.
Vendor Management:
- Liaise with vendors and contractors to schedule and oversee property maintenance, repairs, and renovations.
- Obtain and review vendor quotes, negotiate pricing, and ensure timely completion of work.
- Maintain vendor relationships, evaluate performance, and seek opportunities for improvement.
Compliance and Documentation:
- Ensure compliance with local regulations and company policies in all property management activities.
- Maintain proper documentation, including lease agreements, tenant files, and property inspection reports.
- Assist in preparing reports, analyzing data, and providing updates to management.
Qualifications and Skills:
- Bachelor's degree in business administration, real estate, or a related field is preferred.
- Previous experience in property management, coordination, or related roles is highly desirable.
- Strong organizational and multitasking abilities, with excellent attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in using office software and tools (e.g., Microsoft Office Suite, Google Workspace).
- Familiarity with property management software and platforms is advantageous.
- Knowledge of local real estate laws, regulations, and market trends is a plus.
- Strong problem-solving skills and ability to prioritize tasks effectively.
- Ability to work both independently and collaboratively in a team environment.
